TL;DR: Use IMAP to sync emails between Outlook and iCloud, or export/import emails using a mail client on your computer.
Using IMAP for Email Sync
One of the most straightforward methods to backup Outlook emails to iCloud is by using IMAP. This allows you to connect both your Outlook and iCloud accounts in a mail client like Mail or Outlook itself [2:3],
[4:3]. You can then copy emails from Outlook folders to iCloud folders, ensuring that your messages are mirrored across both platforms.
Exporting and Importing Emails
Another method involves exporting emails from Outlook and importing them into iCloud via a mail client on your computer. This process typically involves downloading your emails locally and then uploading them to iCloud [2]. This approach provides more control over the migration process, allowing you to manage data batch sizes and monitor upload/download rates
[2:2].
Folder Management and Sync Issues
Syncing issues can arise due to differences in folder naming conventions between Outlook and iCloud (e.g., "Deleted Items" vs. "Deleted Messages"). One workaround is to manually change the default folders in iCloud to match those in Outlook [4:1]. Alternatively, some users have developed plugins to redirect messages to corresponding iCloud folders
[4:2].
Tools and Utilities
For large migrations, tools like imapsync can be helpful. This utility facilitates transferring emails between different email services, which can be particularly useful if you're dealing with a substantial number of emails [1:5]. Additionally, privacy.apple.com offers an option to get a copy of your data, including mail, which might be useful for bulk exports
[1:2].
Considerations Beyond Discussions
While these discussions provide useful strategies, it's important to ensure that your email client settings are correctly configured to avoid any data loss during the transfer. Regularly checking for updates or patches related to email synchronization can also help mitigate potential issues. If you're not comfortable with technical setups, consulting with a professional or utilizing customer support from either Outlook or Apple may be beneficial.
I am migrating to Outlook and I have over 10k emails archived in my old iCloud email. I’m trying to export/download all of them at once, but I’m not seeing any way to do it on my iPhone or on iCloud.com.
How do I do this?

Add all clients to the mail app then just move them from old archive to the new archive
Such a great utility!
Open Mail > Inbox (right-click) > Sync iCloud > Inbox (right-click) > Export Mailbox...
I just wanted to share my thoughts on this since I don't see a lot of traction on it. Everyone that migrates from gmail to iCloud mail uses the drag and drop approach. Well, there is an easier and more reliable way in my opinion.
I'm in the midst of migrating thousands of emails. I simply connected my iCloud and gmail accounts in Mail. I exported the mailboxes to my Mac and then imported into mail. From there, I did a move and then it uploaded to the cloud. This way is more stable due to the fact you are downloading to your computer and then re-uploading vs message at a time and risk data corruption.
Here is the Apple KB article to accomplish this.
https://support.apple.com/guide/mail/import-or-export-mailboxes-mlhlp1030/mac
The only downside is you don't know when it's done. You'll have to go into finder where you saved the .mbox too and there will be folder name.partial.mbox. Once "partial" is removed and just says folder name.mbox, you are done. Then you can import back into outlook as a local folder of emails and click and drag. Then just wait for the upload to happen..
Google Takeout is an option too.
You can also do this using Outlook (for Windows) as it gives you a bit more control and status as you go along (download/upload rate, size of data batch, how much/many are left, etc). Once migration is done, just use Mac or iOS Mail clients. Have migrated number of mail boxes that way for friends and family.
Totally forgot about using Outlook! Agreed Mac or iOS mail. I think I'll do that. MacOS mail is great until you get to the Important and All mail/archive labels in gmail and if you know what you're looking for to check status on it. I've used Outlook to migrate in the past and it works really well. Thanks for the reminder!
This reminds me that I have wanted to move my @icloud.com as my primary account email. Currently that is a @gmail.com as that was how I signed up with Apple before. That is also the email address I used to login to iCloud.com and Apple account.
If I were to remove that email, which I guess should force my @icloud.com to be the primary account, what happens then? Have you done this before? Does your Apple login switch to using your @icloud.com account instead? I don't mind adding the @gmail.com email afterward as a secondary email. I just haven't done it yet because I am afraid of how that could affect my logins on my Apple devices and so on. If you guys have experience in doing this, I'd love to hear what your experience was! Thank you.
I haven't gotten around to doing that yet but it's been on my mind as the last thing to maybe do. I want to make sure everything is finished migrating first. However, it may be some time before I do change the primary...maybe....definitely won't delete it for a long while. It's actually quite simple really, just go into iCloud\Sign-in & security and chose your iCloud address as your primary. My primary is still gmail. I have heard that once you change your primary to an iCloud address, you can't go back to a non iCloud 3rd party address. You can still go to custom domains through iCloud as far as I know. So make sure it's something you want to do.
Based on that, it's a lot simpler nowadays. With that said, I've read that you should sign out of your devices and back in with the new primary. However, I'm not so sure that's necessary unless you plan to delete it. In theory, things should still work since that gmail can still sign into devices and is an alias of your Apple ID.
Unsure of what will happen with shared notes/reminders/files, legacy/recovery, etc. but other users on Reddit that have done it, said it's been fine. Their only recommendation was to sign out of iCloud on the devices and sign in with the new primary. Again, I don't think that should be necessary unless you plan to delete it which it doesn't sound like.
The main Apple ID is always tied to your Unique Identifier which you won't see. So as long as you don't delete the iCloud address that is an alias of or your primary Apple ID address, you should be fine. For example, if you change ID to iCloud, you technically have the same apple account, just different email address tide to it. However, if down the road you decide to create a brand new iCloud.com account and delete your old one, you won't be able to migrate purchases, emails etc.
Finally, my HME used to forward to my gmail. I switched that to forward to my iCloud address. You can even forward to your customer domains. Go to settings > iCloud > Hide My Email > Forward To. I did this without changing my primary Apple ID since you can do this with iCloud alias.

Has anyone done this before? How simple is the migration (my custom domain is from GoDaddy). How easy is it to move all emails and folder structures over? Are the rules just as good as in Outlook? Can I use "vanilla" email clients on Windows? Any irks that long-time users have?

I just did that. I have my domains at dreamhost. It was very easy. Just change the MX records on the domain registrar. The custom domain emails just get into the icloud mailbox.
But BEFORE you do that, connect your mail client (whichever OP prefer) to GoDaddy’s server and copy/move the mail.
It can take some time. Moved a few addresses for friends last year, and used Outlook on Windows to download locally, and then upload, as it provided far better monitoring capabilities of the process. Took a few days and nights as it was some 20GB+ of mail.
Can I please ask what exactly that step entails and how I do this?
Why? Just wondering I use iCloud as my custom right now.
I got Apple One and would stop using Office 365 Premium going forward. Also I am more often on my iPad doing life admin than on my computer.
Has anyone found a workaround for the sync issues between outlook and Mail ?
iCloud Trash folder is IMAP's 'Deleted Messages'
'Sent' is 'Sent Messages' on IMAP.
Outlook has a different way of managing folders, being "Deleted Items" and "Sent Items" as default. Of course, the more you use outlook the more problematic it becomes, as it won't properly sync with the mac world.
I installed iCloud for windows, hoping the iCloud Outlook Add-In will take care of this sync, but it doesn't seem to do anything. Deleted Items is just another folder in Mail, and sent emails are not saved in 'sent', as they should on their Mac counterpart, messing with email threads, etc.
Is this an expected behavior? What is the correct way to fix this?
I've been using outlook for years with exchange accounts, but decided to move my custom domain to iCloud because G suite legacy is shutting down. It works well on outlook, but the folder sync issue is a pain.
Thanks!

EDIT: found a workaround: on icloud web client change the default folders to match those of outlook. (Click on gear config) sent folder and deleted items folder.
Then, do the same on each mac client (mail app on MacOS and iphone as well)
You might have to move all messages to the new folder, for consistency. This is a one time thing).
My current workaround is a small PlugIn for Outlook I wrote redirecting all messages to the corresponding iCloud folders.
If you don’t have too many folders the setup outlook to access iCloud over IMAP and copy the emails over folder by folder
If you have lots of folder and provided you have IMAP access to you original emails than you can use a tool as the one described in this link to migrate emails over.
https://blah.cloud/miscellaneous/migrating-google-workspaces-to-icloud-custom-domain/
This link was posted earlier on in here.
I do not think this addresses the issues /u/alexp1_ is experiencing. I also find it annoying that there seems to be no way for the current version of Outlook to set the "sent" or "deleted" folder manually. This has been possible in earlier versions of outlook (see here).

i tried this before didnt work at all... maybe there is another solution?
I did the opposite last week and moved sent emails from iCloud email to outlook email and all time stamps got overwritten
Use Mozilla Thunderbird. Set up both accounts in Thunderbird. Once you do this, you can copy or move emails from one account to another. All timestamps, etc. are preserved.
Caution: Don't copy or move large numbers of emails at one time. If the copy/move doesn't complete, you can end up with duplicate emails. If you have many thousands of emails like I did, the process may take a week or so manually copying the files bit by bit.
If you are coming from Gmail, note that an email with multiple labels will end up being duplicated in EACH equivalent Thunderbird folder. Thunderbird can also help you deduplicate emails, but it's time consuming.
If you are using two factor authentication for Outlook, you'll need to get a Microsoft app password to set it up. See here for help. Gmail with 2 factor authentication will also require a one-off password.
I've never tried linking iCloud to Thunderbird, so you're on your own there.
Hi there, first time poster!
I’m having issues with my iCloud email saving all of the emails that I receive to my iCloud storage. I have gone into settings and done the Name>iCloud>See All>Mail and then turning USE ON THIS PHONE off. However when I do this it removes all the emails from the email app itself instead of just stopping the automatic transfer of the emails to my iCloud storage.
I did talk with an Apple representative and they told me to do the same exact thing and we got the same result with no resolution.
For some insight: I only realized that this was an issue today as I don’t frequently use my Apple email account. However I notice that I hadn’t received any of my emails to that account for over a month which is very unusual. I found out the reason to this was because my iCloud storage was full but now I don’t have any of the emails from over the past month. In that time I’ve bought a couple of different concert tickets which I now don’t have the emails for as they were sent to the one I’m having issues with. Does anyone know if there anyway to get those emails back at all as well?
Once an email bounces it’s impossible to get it back unless the sender resends it.
Reach out to the seller to have them resend
Alrighty thank you!

When you use Custom Email Domain with iCloud Mail, you can import existing email messages from your previous email provider to iCloud Mail and have all of your email in one place.
I’m glad to see this! Not having this was a pain point when I made the switch earlier this year.
Thank you for the reply.
Yes indeed, had to manually connect both accounts in the Mail app and copy them over (which might take a long time)
I just noticed this feature today. I wonder how well/fast it works

Yes! I also had gone through transferring everything through the Mail app and it took me two weeks b/c it kept crashing if I did more than 10-15 emails at a time. I did this for me and everyone else in my family that uses our domain.

This feature does not show up on my account. Anyone have instructions on how to get it?
The only prerequisites are to have iCloud+ subscription and 2FA enabled.
They also seem to mention here that the feature is not available in all regions: https://support.apple.com/en-ie/guide/icloud/mma473945269/icloud
Doesn’t show up for me either. Apple Support was useless as to why.
I use outlook on my Windows Laptop, iPhone and iPad to connect and send email from my yahoo email. Been using it for years. On Friday none of my outlook clients would download anymore using new email. On my iPad I deleted the account and readded it to the outlook client and it downloaded mail up to Friday. The calendar seems to work, also if I deleted message older than Friday it gets deleted from yahoo web and my iPhone outlook clients. BTW Apple mail works fine with Yahoo, downloads all the old and new messages.
Any ideas to fix this. Not sure if is an outlook or yahoo issue or both.
Thanks
You may need to generate a new password for Outlook to work. This worked for me:
My yahoo emails is through att so to get access I go through the yahoo password using the auth process. It’s also strange that I can get download email prior to Friday.
I am not sure what you mean. However, yahoo has been making many changes in the last week. The new password requirement for Outlook may be one of them.
I could not logon using outlook until i created the new password using the instructions in that link.
Good luck.
Whewwww…. I wish none of us have to go through this, but atleast we know this is something that is affecting tons of thousands of people I’m sure.
Can you guys please advise where you read that yahoo is experience an outage right now?
i sent in a support ticket via outlook app on windows. They said they would get back to me by Monday.
