Best Time to Ask for a Hotel Upgrade

TL;DR

  • Be polite and friendly.
  • Book directly with the hotel and be a rewards member.
  • Ask at check-in, but upgrades are often decided earlier in the day.

Timing and Approach

The timing of your request can play a role in securing an upgrade. While some hotels assign upgrades early in the day based on availability [3:1], others may accommodate requests made at check-in if rooms are available [5:2]. Being polite and friendly is crucial; expressing genuine interest in the staff's day can create goodwill [5:7].

Booking Method

Booking directly through the hotel's website and being a member of their loyalty program significantly increases your chances of receiving an upgrade [4:1][3:3]. Third-party bookings generally result in less flexibility for upgrades [4:8], although exceptions can occur if the hotel has your actual credit card on file [4:7].

Special Occasions and Requests

While mentioning special occasions like birthdays or anniversaries might seem like a good strategy, many front desk staff have heard these stories frequently and may not prioritize them unless you genuinely stand out as a kind guest [2:4][2:8]. Instead, focus on being courteous and making reasonable requests [5:4].

Status and Loyalty Programs

High-tier members of loyalty programs often receive upgrades more easily [3:2]. For example, Hilton Diamond members frequently report successful upgrades by communicating their desires politely [5:1]. Hotels may also prioritize upgrades for guests with longer stays if they demonstrate kindness and patience [5:5].

Additional Tips

Consider offering to pay for an upgrade as a gesture of goodwill, which might lead to a complimentary upgrade if available [4:4]. Additionally, avoid making demands without politeness or gratitude, as this approach rarely yields positive results [2:2].

Just curious if you have ever asked for a free upgrade at a hotel and were ever given one? Kind of just want to ask for exposure therapy but am just wondering if anyone has succeeding in asking?

It never hurts to ask! If it’s available I like to give them out if asked, especially to members.

If we’re asked over the phone or online chat, we’re supposed to check the date the reservation was created to make sure they didn’t JUST book and try to game the system for an upgrade.

We normally just don’t like when you expect or feel entitled to an upgrade for whatever reason. The kinds of rooms we’d be upgrading you too are usually limited and sell out quickly, so you should never expect one to be available.

Some places might offer an upgrade at a discount, also.

yeah, but its a game I just don't like playing...maybe its me but if I get stuck somewhere because a flight got canceled or I am going to NYC for the weekend or any other situation where I literally need a place to sleep, if you want to upgrade me great but in either case I am not really going to "use the room". But if were going to the beach and you know ahead of time that your going to spend a lot of time in the hotel room and using the hotel amenities a lot, it just makes sense to book the larger room or book the package that includes access to all facilities and not just book what is ever cheap and hope you can sweet talk your way into something better. Maybe I am just jaded from my years and years of retail work but I can always spot that family with the penny pincher parent who found a "deal" and they really saved $50 on the room to just spend $50 on the breakfast that was otherwise included on the standard package. Maybe its just me but I don't live on hope for upgrades

Yeah I’d definitely suggest actually booking what you need at a minimum, but if you book for a vacation there definitely isn’t any harm in asking in the off chance you might get something better than you’d hoped for. If I just need a clean bed and toilet because I’m stranded for a night, I just wouldn’t ask for an upgrade.

If we have the rooms available, you book through the hotel directly and you're nice to us. Most likely, we'll give you a free upgrade.

I did online check in, digital key, entered my room and was not happy with the view. I had booked the trip as a special celebratory getaway for myself and had a different view in mind.

I went downstairs and as nicely as I could, explained I'd stayed there previously and loved my view, and this time I was there for XYZ and would love it if they had a better view available.

They not only gave me a room with an awesome view, but 10min later came to my room with balloons and a small hospitality gift to commemorate my "celebration".

Our policy is to give it only to those who don't ask. And if you ask for special treatment, like "It's my birthday"... expect a card printed from our laser printer. Everyone writes that it's their birthday, anniversary, honeymoon, babymoon, graduation, anniversary of their first date, etc etc etc etc.

And if you book 3rd party, you are almost guaranteed to get exactly what you booked and nothing more. We don't want to hear a complaint that you didn't get the room you paid for.

Yeah I learned my lesson hardcore when we booked a hotel in the Philippines on a OTA because they had a stay 3 nights get one night free deal which of course did not include breakfast...we spent more money on food that trip then we saved and the posted walk in rate was almost what we paid. booking directly from now on

I always assume they'll think that I feel entitled to it just for asking and therefore not give it to me, so I've never asked. I've been offered a few cool free upgrades at some cool spots like Amsterdam Manor in Aruba and last month at an overnight at a Hyatt Regency in Taipei, but probably because we're "Discoverers" in their ranking system. I think I'm not bold enough to ask. Perhaps I should try it sometime. Good post question.

Sending a chat saying « I’ll be 5 hours early so give me the early check-in and assign an upgraded room on a high floor” without “hello” or “please” isn’t the best way to get what you want.

Yeah, I've gotten probably 50% upgrades just by asking politely, especially if there's some type of problem that's out of the front desk persons control.

Oh the pool is closed for renovations "hey, I know it's not your fault the pool is closed but we chose this hotel for the pool, since it's closed is there any chance of an upgrade to our room, if not I totally understand"

The policy is that Upgrades will be given when available. That means employees go through the system the day of and assign upgrades based on a ranking system from corporate. If the hotel is sold out you do not get an upgrade. If you are not high enough on the list of priority you do not get an upgrade. Asking does not help. Not saying I agree with this policy but this is how it is.

Not true - I’ve had Marriott employees tell me that they only give upgrades to those that ask. It makes their lives easier knowing they won’t face a rude/intolerable person at check in whining.

Now I politely ask every time. Is it annoying - probably, but I spend 200 nights a year on the road and it’s really appreciated when I can have more space to myself. Don’t be upset with the customer when this is what your employer has setup for themselves.

The policy says it's based on availability, not on whose request the reception worker liked the most.

An upgrade is indeed to pay for a cheaper room and get something better, that's the definition of the word that Marriott advertises.

It always annoys me so much when people purchase the cheapest room and then are so furious that an upgrade is not available. I work at a location which is mostly business travelers - they are literally all platinum or above. We have like 8 rooms which are “upgrades”. If u really want to that bad then just book it and stop being a baby 😭

This was my favorite thing to do when I worked at the front desk, even if it was rare. We only comp upgraded to the largest suites on sold out nights. The check in shift is full of negative interactions but the right combination of a nice guest with the hotel being sold out can make for a moment that actually makes someone happy. Thanks for being kind, as that shift is rough!

I took my eight year old niece to Manhattan for a weekend for her birthday, I’d booked a regular room but after a friendly conversation at the front desk I was upgraded to their Presidential Suite (without me asking for it). My niece lives in Manhattan now (as an adult) and tells me she still thinks about that trip when her travels take her by the hotel we’d stayed at. Upgrades like that can turn into lifelong positive memories for guests.

It’s just not that hard to be nice! I recently got a welcome email from the Desert Springs in Palm Desert where I would be staying for one night.

I wrote back thanking them for the greeting and letting them know we have medical supplies in the car and requesting early check in due to heat.

Not only did they accommodate the request, on the same email we were upgraded to a room with a better view and by an elevator (which was what we in particular needed due to said medical supplies).

I replied thanking the person for his kindness and when we got there the porter brought two luggage carts full of dialysis supplies up to our room and unloaded them by himself (thanks Mike - you’re amazing).

Just be nice to people. That’s really the secret here. And to life too ;)

Edit - and we would be leaving by 8 am next day. We told front desk staff this at check in. If you give them info everyone wins - sometimes you need extra time on one end or the other and sometimes it doesn’t matter.

Best chance tips for an upgrade?

Posted by bmabr · in r/hotels · 5 months ago

I’ve always been curious of this and I imagine it varies by brand. But when hotels offer free upgrades when available to a better room for high tier members, what is the best chance for an upgrade?

I’m always very friendly and polite but what else matters; does check in time matter? Should I be early, later? Does it get chosen the morning of? Do they avoid upgrades to anyone with special requests? That sort of thing. (I usually like to stay at the end of a hall so I don’t hear kids screaming and stomping up and down the halls, but I have avoided putting that as a request thinking that if I were to get chosen for an upgrade they may pass over me because of that request.)

Thanks everyone!

I mean status is probably #1. Booking direct. A lot of hotels will oversell there standard room types and upgrade those with status or who have paid more. I wouldn’t say time of check in matters a ton but if anything I’d say earlier. Less ppl checked in and more potential options in theory. Also it’s everyone’s bday honeymoon or anniversary blah blah. FD staff have heard it all

At my hotel we upgrade people in the morning if we have the availability and send emails to the people we’ve upgraded. Doesn’t matter what time you check-in. If someone wants a high floor at the end of the hall I can’t upgrade them and accommodate their requests. My hotel has two king suites and two queen suites on each floor and they’re all by the elevator. It’s annoying but we can only do so much. If you check in and ask for an upgrade and we haven’t upgraded you already, it’s either 1. we’ve run out of upgrades and already sent those guests emails and I’m not going to take the upgrade they were promised away or 2. I cannot upgrade you and accommodate all your requests, It’s either an upgrade by the elevators or top floor at the end of the hall where it’s quiet. At my hotel there’s not really a better way for someone to get an upgrade. Maybe if you call a week before your arrival I can put in an upgrade request. Idk hope that helps.

We tend to get upgrades at hotels where we have status or are booked by our Virtuoso agent.

You can always ask, but expect to pay an upcharge at that point.

I've only had luck in really busy hotels in vacation destinations -- Vegas, Palm Springs, etc. Although check in is 3pm, often the cleaners are still working furiously to get enough rooms ready for the night. A *good* front desk agent knows this and will try to manage the rooms if they see their available clean rooms number dwindling.

Let's look at a scenario: I have 100 reservations coming in, and 10 clean standard rooms at 3pm. By 3:45, I have 5 clean rooms. By 4:00, I have 3 clean rooms. The next couple of people who have one-night reservations for standard rooms are getting upgraded if there's room:

  • I don't have to disappoint a customer by saying their room isn't ready AN HOUR after check-in.
  • I am making someone happy & that could lead to a good review.
  • It's easier to justify to my manager that I upgraded a one-night reso for room management than to wait until someone is throwing a fit at the front desk and I have to upgrade or partially comp a 7-night reservation.
  • It's easier to sell a standard room than a premium room, so the hotel might end up making more money.

Again, it depends on your agent. Years ago, when I worked in hotels, there were agents who would click the "assign room" button and never, ever move anyone from their assigned room.

Edit: Forgot status members. Always upgrade your status members first!

If you ask for an upgrade and they give it to you, should you tip the agent? If so, how much, and, more importantly, how do you do it without making things awkward?

People rarely tip the front desk, but when they would tip the concierge, valet, etc. it was never awkward -- just a quick "thanks" while handing over the money.

I recommend offering to pay money. Say how much would it cost to upgrade to a suite of available. The good faith gesture is more likely to yield complimentary upgrade. If not, they’ll give you a price and you just say to rich for my blood, but thank you.

Just know if you booked through a 3rd party it will always usually be a no.

Book through the companies website and make sure you are a rewards member.

SeeingClearly22 · 1 year ago

Re: 3rd party booking, you might not always be shut out of changes. On my recent road trip, I decided to extend my stay at a hotel I’d booked via 3rd party. Asked at the desk, and one agent said flat “no” but the other said wait a minute…. She read off the last digits of the credit card number on my reservation and asked, is this your actual card. It was, and she was able to give me the extension.

It seems like some 3rd parties use a temporary cc number for bookings, but some don’t. If the hotel has your real number on file, they might be able to give you the upgrade. Of course, this is a sample size of one, so YMMV, but it never hurts to check.

I used to work at a pretty swanky hotel and we weren’t allowed to upgrade a guest without a nightly charge. That being said, we could upgrade people who booked with third party sites; we just added the charge to their incidental charges.

2 upvotes on reddit
CoolJeweledMoon · 1 year ago

Make sure you're a rewards member for all the chains before booking since they're more likely to say yes if you are. I've occasionally asked for an upgrade, & it sometimes works, & I always ask for an hour late check out, & it works for that 99.9% of the time.

Upgrade success 🥳

The last couple of times I’ve stayed at Hilton’s I’ve messaged the front desk via the app about 1-2 weeks before and I’ve been successful getting a very nice upgrade on both occasions.

These were both UK in a DoubleTree and “Hilton” Hilton.

For the first one, I booked the cheapest room possible for 2 nights and got upgraded to a Jr Suite.

The the latest one, I also booked the cheapest room but for 3 nights and they’ve been able to upgrade me to a full Suite 🥳

Just be really polite, ask how their day was and they might just return the kindness to you!

I’m Gold and stay in Hilton’s 4/5 times a year.

I wish you all success too 🤞

Front desk here… yes, always communicate the desire! Some people really don’t care either way, so it’s good to know who would appreciate it most. Or put it in the notes! Mentally prepare for the inability, for various reasons. Not saying we pick favorites, but the right approach goes a long way!

I'm Gold thanks to the AMEX surpass card, Back in Fall 2024 (Mid-September to Mid-October), I took a vacation to London and stayed in the Doubletree Hyde Park (2nd time there after September 2022) and originally booked a Queen Room for 28 nights.

Upon checking in, I was pleasantly surprised to get upgraded to a King Suite room with a Park view.

That upgrade was completely unexpected as I hear the hotels don't usually upgrade you if you have a long stay.

The only hint I gave them at all about asking for any upgrades was in my special requests, when I asked to be put in my previous Queen room that I stayed in from 2 years prior if that particular room was still available and I didn't get any Gold Upgrades.

So, maybe that extra request to get upgraded worked, or maybe it was just coincidence that they were going to upgrade me anyway.

Front Office Question

This is for current/former front office employees. What would you say helps in getting an upgrade when celebrating a special occasion at a Marriott property? I am booking a redemption stay and currently a platinum (not sure if that matters), I never am the "rude" "demanding" type as I understand it's sometimes not possible. But what do you all recommend in order to better my chances.

If this is a very very special ocassion, contact with customer care to request the upgrade and make some arrangements. Note that this may take time, and it depends on the property, but they should open a request and the concierge or equal will contact with you. May you request to have something upon arrival like champagne or chocolates, they will be willing to help you and yes, this includes upgrades too

Chances will depend on when and if the hotel already has high occupancy . Reach out a week prior to the date, directly through fd. They can check and if available can upgrade you. Let them know of the occasion. If the upgrade cannot be accommodated the hotel is likely booked up, upgraded rooms are already pre blocked for those that booked and paid for them.

Two steps (although some hotels maybe three)

Step one: Within 24 hours of booking, call and ask. Nothing special “hey I have a reservation coming in X. I was checking to see if an upgrade might be available”

Step two: (if needed as they might have already said yes) when the chat options opens up 2 days before arrival “hello I’m coming in a couple days and I’m celebrating Y. Is it possible to have an upgrade please”

Front desk will (if trained properly) either say sure!, unfortunately none are available at this time but I can make a note in your reservation if anything opens, or unfortunately we will not know until day of arrival

Should that last option happen - call on day of arrival

If a no is given in of these steps, accept it and move on. Front desk isn’t saying no to upgrades just to say no

  1. Make sure you’re not staying on a busy night, during an event, or on a weekend in a busy area. An off night, like a weekday would make an upgrade more likely.
  2. Book direct with the hotel. Do NOT use a third party booking site.
  3. If it’s for a special occasion, put that in the reservation notes.
  4. Never hurts to call and ask what their policy is on upgrades.
  5. Hotel loyalty programs are free. If you travel a decent bit, it would be in your best interest to sign up. Good luck!

As a front desk agent I agree 100%, would also like to add that many hotels have commission based upsells. When you check in, you might be offered to upgrade for an additional $x per night (at my hotel the first tier starts at 25). But no one tells you is that it’s negotiable; since it’s commission based we are encouraged to “not lose the upsell”. So if I offer someone 25 and they say no I’ll offer 15 on slower days, since some extra money is better than none. Basically just ask upon checkin how much it would be to upgrade, and whatever price you’re given politely ask if they’d be willing to do whatever $x you have in mind. You can also ask if there is a way to bundle a parking or meal add-on which genuinely saves you a lot. The key and I cannot stress this enough is just to be nice!! You’d be surprised what you can get just by being friendly, I’ve def given free upgrades every now and then to people who aren’t at the “eligible status” just for genuinely being a kind person.

1 upvotes on reddit
zib1201 · 2 years ago

And of course this only applies to my specific property, not every hotel participates in the upsell program. An option of last resort is if you’ve been seriously inconvenienced, e.g. maintenance problems in your room & you need to switch, that can be an opportunity to politely inquire about an upgrade. Once again stressing the importance of politeness - sure you could be a dick and demand an upgrade for the inconvenience, you’d probably get that (and nothing more) and have a bad rep at the front desk. Versus when someone has clearly had a hard time but being patient and kind, we’ll be way more sympathetic and really want to help you. then if anything more comes up you know your friends at the front desk have your back! Again just speaking from personal experience, sorry for the rambling i just wish more people knew how a little kindness can go a long way in this industry.

I usually book a middle range room, ask on check-in if there are upgrades avail. If avail, I’ll take one and they often do an extra upgrade for free. One thing that has been mentionned by others: be super nice! The amount of wasted/arrogant/entitled/meam people hotel people meet on a daily basis is insane. Just being a proper human being with consideration for others can do wonders. If it does not get you anything, it might cheer up someone having a bad day!

  1. Ask the day before or early the day of. Call the hotel and ask.
  2. Be flexible on your check-in time. If possible, get there early, ask at the front desk to offer to wait for your suite. Some suites are ready overnight and will be given away early, some need to be cleaned and could be ready later in the day.
  3. Be nice. Sugar works a lot better than vinegar.

Agree with all of this! Have also had great success sending a message through the app when I have not been able to call (on plane or international properties).

I'm currently Gold. I never ask and get upgraded a fair amount (but it's never anything really crazy these days). A few years ago as Platinum, I got really nice suite upgrades.

Examples of upgrades as Gold: corner room, upgraded views, etc. At Gaylord Opryland around Christmas last year, I was upgraded from an exterior view to an interior atrium room which typically costs a lot more.

If you are doing a mobile check in, please ask a day or so ahead of time. With the mobile check ins you get checked in as soon as the room is ready and it makes life easier for the front desk if they upgrade you before you are checked in.

platinum/newly titanium here. sometimes I'll ask via the chat a day before or same-day of check-in. majority of the time they'll confirm an upgrade via chat, but I noticed I get upgraded pretty well even if I don't do it so I stopped doing that as much, to not be a bother, unless I was really hoping for an upgrade for a specific hotel (usually luxury hotels).

My stay isn't for two weeks, do I request upgrade now?

Wondering if I should request an upgrade now and ask again when I check in? Or just wait and ask at the desk when I arrive?

I never understood this big desire for upgrades. Unless you are traveling with a bunch of kids what does it matter?

You can usually get a room with a better view or if you're diamond you can get executive floor rooms, which tend to be alot more quiet and calm in my experience. A larger bathroom is definitely a plus.

If you are on the ocean or like I was in Venice on the grand canal the nicer view is better. But I was in Cancun for a week and they said after the third night they could movie me to upper room ocean side. I was like don’t bother as it’s not worth moving.

If you are upgraded to a suite (especially for multiple night stays) it is amazing. I once got a duplex in London where I’d climb the stairs to bed with a lounge and dining table downstairs. Awesome.

I have had those as well but when I am staying by myself or with wife seem pretty useless. I got upgraded to a big suite in Venice with my child which was nice as they could stay in another room but otherwise who cares.

Some people like fancy rooms. Some don’t. Simple as that. Just depends on what you enjoy.

To me it's a room, but the upgrade is lounge access for free.

I would wait unless you really want it and are willing to pay.
Are you Diamind? I often get a free upgrade offer about 3-4 days out.

Oh I see. So this isn't for the free upgrade based on status. This is for a paid upgrade?

Secret_Squirrel2 · 2 years ago

You can click the button and see the options without being obligated to anything. But yes, it’s a paid upgrade.

Better for upgrades to check-in the day before online or in-person

Posted by MartinB3 · in r/marriott · 3 years ago

Hi folks! I regularly get the prompt in the Marriott app and via email to check-in a day before my actual first night. Does that increase/decrease my chances of an upgrade? Or does it not matter for an upgrade? Are there other reasons I would want to checkin the day before or avoid doing it? TIA

No. It’s always based upon availability.

I had the room upgrades pre check in already visible in the app. A few times just talking in the app checking in was also good practice. Since I moved up from gold actually always got one unless there wasn’t a better room at all in like a moxy hotel.

I have a pretty good track record of checking in on the app, chatting on the app, and stating that I'd appreciate an upgrade if they have one, and being kind. I'm only gold right now but I have been upgraded at each of my last 4 stays.

When you say “chat” — are you doing that on the app or later when you arrive for your stay?

Same. Been also kindly asking via the app chat and have been consistently upgraded.

I’ve found this to work as well. Just send a note thru the app, with something like “Good morning! Any chance an upgrade is available?” before you actually check in.

best time to ask for a hotel upgrade

Key Considerations for Asking for a Hotel Upgrade:

  1. Timing:

    • Check-in Time: The best time to ask for an upgrade is during check-in when the front desk staff can see available rooms.
    • Off-Peak Hours: Try to check in during less busy times (mid-afternoon or late evening) when staff may have more time to accommodate requests.
  2. Loyalty Status:

    • If you are a member of the hotel’s loyalty program, mention your status. Higher-tier members often receive complimentary upgrades as a perk.
  3. Special Occasions:

    • If you’re celebrating a special occasion (birthday, anniversary), politely mention it. Hotels often appreciate the opportunity to enhance a guest's experience.
  4. Politeness and Attitude:

    • Approach the staff with a friendly demeanor. A polite request can go a long way in making them more willing to help.
  5. Availability:

    • Be aware that upgrades depend on availability. If the hotel is fully booked, your chances are lower.

Takeaway: The ideal time to ask for a hotel upgrade is during check-in, especially if you have loyalty status or are celebrating a special occasion. Always be polite and respectful in your request, as a positive attitude can influence the outcome.
